About the Role
This opportunity is for an experienced Executive Assistant who will provide high-level support to executives by managing schedules, communications, priorities, logistics, and ongoing administrative needs. The role focuses on keeping executives organized, maintaining reliable follow-through, and ensuring important commitments, projects, and deadlines remain on track.
The position combines executive administration with project support, workflow improvement, and light financial administration. Day-to-day work involves dynamic calendars, inbox management, meeting and travel coordination, expense and invoice processing, project tracking, and the effective use of Google Workspace, Microsoft Office, project management platforms, communication tools, CRMs, and financial systems.
What You'll Do
- Manage executive inboxes, draft professional messages, coordinate communications, and ensure timely follow-up on important items.
- Maintain dynamic executive calendars, adjust to changing priorities, and help ensure executive time remains aligned with the most important commitments.
- Coordinate meetings, travel arrangements, and related day-to-day logistics.
- Track progress on key initiatives, monitor next steps, follow up on outstanding items, and help executives stay ahead of deadlines.
- Identify opportunities to improve workflows and administrative processes through effective use of technology, tools, and systems.
- Manage multiple concurrent tasks with accuracy and attention to detail so commitments and important information are not missed.
- Process and organize expenses and invoices and maintain light financial reporting as needed.
- Provide responsive and reliable support that helps maintain trusted professional relationships.
Qualifications
Required Experience
- 4–7 years of high-level support experience in an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
- Experience managing professional communications, changing schedules, and complex projects.
- Some experience guiding or mentoring others while sharing knowledge and contributing to a supportive team environment.
Required Skills
- Ability to use Google Workspace and Microsoft Office for executive administration, communications, scheduling, documents, and related workflows.
- Comfort using project management platforms, communication tools, CRMs, and financial systems to organize work and improve efficiency.
- Strong problem-solving ability, professional judgment, proactive follow-through, and discretion when handling executive matters.
- Ability to organize competing priorities and maintain accuracy across multiple tasks and changing requirements.
