About the Role
This opportunity is for a bilingual Program Assistant supporting training-based programs in a fully remote environment. This role focuses on coordinating program operations, managing communications, supporting facilitators, and ensuring smooth delivery of virtual training sessions. The position requires strong organizational skills, attention to detail, and the ability to provide both administrative and technical support in a fast-paced, remote setting.
Compensation: $25.00 - $35.00 per hour
What You’ll Do
- Manage calendars and scheduling for training sessions, meetings, and program events
- Coordinate logistics with facilitators and participants to ensure smooth program delivery
- Handle participant communications, including responding to inquiries, sending reminders, and providing technical support
- Track attendance, registrations, and participant activity using CRM and LMS platforms
- Maintain organized program data, reports, and documentation across systems
- Support facilitators by preparing materials, coordinating schedules, and ensuring readiness for sessions
- Create and update resources such as FAQs, troubleshooting guides, and engagement materials
- Identify operational gaps and support process improvements across the program
- Set up and manage virtual meetings, including assigning roles, moderating sessions, and troubleshooting technical issues
- Conduct pre-session technical checks for audio, video, and connectivity
- Manage breakout rooms, monitor engagement, and support participants during live sessions
- Resolve technical and logistical issues in real time during training sessions
Qualifications
- Experience working in a fully remote environment with strong time management and organizational skills
- High level of professionalism, accountability, and reliability
- Strong attention to detail and ability to follow established processes accurately
- Ability to collaborate effectively while also working independently
- Strong customer service and problem-solving skills
- Proficiency with Microsoft Office and Google Workspace
- Experience with virtual meeting tools and online collaboration platforms
- Experience in training, facilitation, coaching, teaching, or customer-facing roles
- Strong interpersonal skills and emotional intelligence when working with participants
- Fluency in English and Spanish required
Preferred Qualifications
- Experience using CRM and LMS platforms such as HubSpot
- Experience with tools such as Zoom, Asana, Eventbrite, Alchemer, and Slack
- Familiarity with participant engagement tracking and reporting systems
