Role overview

This executive support role serves as the operational right hand to a CEO across business and personal matters. You will manage a wide mix of administrative, financial, legal, family, and office-related responsibilities while helping keep priorities organized, deadlines on track, and day-to-day operations running smoothly.

What you’ll own

  • Manage financial and investment-related coordination with advisors, accountants, and other outside partners.
  • Track statements, organize financial records, and help manage tax preparation workflows and filing deadlines.
  • Handle incoming financial paperwork, invoices, reimbursements, recurring obligations, and office mail.
  • Coordinate with attorneys, legal agencies, and government offices on contracts, filings, renewals, permits, and documentation.
  • Review and organize legal correspondence and support basic legal research and summaries.
  • Manage family-related logistics such as college applications, enrollment timelines, school communications, appointments, and insurance paperwork.
  • Support personal scheduling, travel, and day-to-day administrative needs that intersect with professional obligations.
  • Maintain organized records and filing systems across financial, legal, and personal matters.
  • Build systems, improve workflows, and proactively flag issues, risks, and deadlines before they become problems.

What you’ll bring

  • 2 - 5 years of experience in executive support, operations, legal administration, financial coordination, or a similar multi-disciplinary role.
  • Bachelor’s degree required.
  • Coursework or certification in business, finance, pre-law, paralegal studies, or a related field is a plus.
  • Experience managing complex workstreams with competing deadlines.
  • Experience coordinating with attorneys, accountants, financial advisors, or similar external partners.
  • Familiarity with personal tax filings, investment documentation, and basic legal agreements.
  • Strong organizational judgment, discretion, and ability to handle confidential information.
  • Strong communication skills and the ability to work independently with minimal supervision.
  • Proficiency with Google Workspace, Microsoft Office, and productivity or AI tools.
