About the Role
A remote Finance Specialist opportunity is available for a detail-oriented professional who enjoys supporting financial operations, transaction workflows, documentation management, and organizational processes. This role focuses on ensuring invoices, reimbursements, expenses, and financial records are processed accurately and efficiently while supporting audit readiness and compliance activities.
The position works closely with finance leadership and provides operational support across financial systems, vendor payment processes, expense management, grant administration support, and financial recordkeeping.
This role is ideal for someone who enjoys structured workflows, maintaining accurate financial documentation, coordinating transaction activity, and supporting smooth day-to-day finance operations in a remote environment.

What You’ll Do
Financial Transaction Processing
- Review expense submissions for completeness and proper documentation
- Monitor outstanding expense reports and follow up regarding missing receipts or required corrections
- Assist staff with expense reporting and reimbursement questions
- Enter and track financial transactions using internal finance systems
- Support expense management related to travel and organizational events
- Maintain organized records for expenses and reimbursements
Vendor Payments & Invoice Processing
- Receive, organize, and process vendor invoices
- Prepare vendor and consultant payments through financial platforms
- Track invoice approvals and payment statuses
- Assist with vendor onboarding and vendor record maintenance
- Respond to vendor questions regarding payment timelines and status updates
- Maintain organized vendor payment documentation
- Support accounts payable and accounts receivable processes
Transaction Tracking & Financial Documentation
- Track payment activity for expenses, invoices, reimbursements, and other transactions
- Maintain accurate digital files for financial documentation and supporting materials
- Ensure all transaction documentation is complete and properly stored
- Support financial recordkeeping for reporting and compliance purposes
- Assist with reconciliation support and documentation preparation
Audit Preparation & Finance Team Support
- Help prepare documentation requested during annual audits
- Organize financial records and supporting schedules for audit readiness
- Maintain financial files required for compliance and reporting processes
- Provide administrative and coordination support to finance leadership
Grants Administration Support
- Maintain organized grant-related financial documentation and files
- Assist with grant payment coordination activities
- Support grant report tracking and reminders when needed
- Assist with grant-related financial documentation processes
Qualifications
- 2–3 years of experience in nonprofit finance, accounting support, operations, or related financial roles
- Experience using financial systems such as Expensify, Bill.com, or similar platforms
- Strong organizational skills and attention to detail
- Comfort working with financial documentation and transaction workflows
- Ability to manage multiple tasks and deadlines in a remote work environment
- Strong written communication skills
- Ability to follow up with staff members and external partners professionally
- Familiarity with nonprofit financial practices and compliance requirements
- Experience supporting remote teams or distributed organizations
- Strong ability to maintain accurate financial records and organized documentation
- Interest in supporting mission-driven and community-focused organizations

Additional Information
This is a remote position; however, candidates must currently reside in California.
