Overview
The Program Coordinator is responsible for coordinating high-volume, multi-day professional education programs in a fully remote environment. This role serves as the primary point of contact for program faculty, participants, and internal stakeholders, ensuring smooth execution before, during, and after each program. The position requires strong organizational skills, attention to detail, and the ability to manage multiple programs simultaneously while delivering an exceptional participant experience.
Key Responsibilities
Program Coordination & Administration
- Coordinate faculty invitations, track responses, and maintain accurate contact records
- Develop program schedules and prepare materials and logistics information
- Arrange faculty lodging, meals, transportation, catering, and vendor services
- Recruit and coordinate witnesses or jurors for program activities
- Distribute schedules, calendar invites, secure links, and course materials to faculty and participants
- Coordinate enrollment processes with customer service teams
- Manage ordering and shipping of course materials and registration documentation
- Prepare and distribute independent contractor agreements
- Generate reports, participant lists, sign-in sheets, and other administrative materials
- Monitor enrollment levels and communicate updates to program leadership
- Provide customer support to program participants and answer detailed program-related questions
- Provide logistical and administrative support for both live and virtual programs
Post-Program Support & Ongoing Operations
- Review and process faculty, vendor, and support staff reimbursement requests
- Compile, analyze, and distribute program evaluation summaries
- Enter program metrics, volunteer hours, evaluation results, and payment records into internal systems
- Coordinate post-program review calls with program leadership
- Verify final attendance and submit required accreditation records
- Prepare and distribute completion and accreditation certificates
- Support annual program scheduling and long-term planning initiatives
- Assist leadership with special projects and cross-functional initiatives
- Support onboarding and training of new team members
- Perform additional duties as needed to support program success
Qualifications
- Bachelor’s degree or equivalent relevant experience
- 3–5 years of experience in program coordination, meeting planning, or event services
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- Customer-focused mindset with strong relationship-building skills
- Ability to manage multiple programs and deadlines in a fast-paced environment
Technical Skills
- Proficiency with Microsoft Office tools
- Comfort working with databases and spreadsheets
- Strong email and internet navigation skills
- Ability to learn and use internal data management systems
Work Environment
This is a fully remote position requiring prolonged periods of computer-based work. Occasional lifting of program materials may be required.
