About the Role
The Project Manager leads medium-complexity projects and accounts from inception through execution, managing project planning, scope, resources, budgets, timelines, and quality. This role creates and manages project workplans, coordinates functional teams, monitors execution, mitigates project risks, and helps ensure activities and deliverables are completed on time, within budget, and at a high level of quality.
The position also supports client engagements and works closely with account and functional department project leads. Key responsibilities include project documentation, workflow and staffing coordination, scope change management, financial management, client status meetings, risk mitigation, and adherence to established project processes and quality control practices.
What You'll Do
Planning
- Partner with Account teams to apply experience across program mix, technologies, and promotional channels to develop solutions that address client needs.
- Create and manage program-level project workplans, partnering with Account teams to define project requirements and success metrics and with Resource Management to develop appropriate staffing plans.
- Create risk mitigation plans when needed, outlining potential scenarios and solutions based on execution experience and specific areas of project uncertainty.
- Collaborate with functional department project leads to improve service delivery processes and project management tools.
Execution of Work
- Manage execution across assigned projects, hold team members accountable for assigned deliverables, maintain project SOPs, and follow quality control practices.
- Manage and document work status and hotsheets, ensuring the team remains aligned with the project workplan.
- Proactively track resource requirements across projects and alert Resource Management to unfilled staffing gaps or capacity issues.
- Actively mitigate risk by anticipating execution barriers, identifying potential quality, budget, and timeline impacts, and developing solutions with appropriate input and collaboration.
- Identify and document internal changes to project scope or workplans and alert Account teams when client follow-up is required.
- Resolve project execution issues in partnership with Account teams, ensuring appropriate communication and escalation when necessary.
Client Interface
- Participate in client status and execution meetings as needed to support clear communication and understanding of project tasks and processes.
- Partner with Account teams to help resolve project execution challenges.
Process & Team Coordination
- Work with Account leads to define team processes, communication plans, and rules of engagement, and manage team adherence to those processes.
- Develop and deploy consistent project documentation, including scopes of work, project plans, solution blueprints, project definition plans, contact reports, status reports, and hotsheets.
- Collaborate with department leads to develop, document, and distribute clear workflow plans and staff assignments that support project execution.
Financial Management
- Apply established methodology to estimate project hours, fees, and costs and provide clear rationale for estimates.
- Partner with Account teams to represent financial objectives when communicating and negotiating project budgets and amendments.
- Monitor staffing and expenditures across project teams to ensure actual costs remain aligned with estimates, client guidelines, and financial performance goals.
- Maintain timely communication of project financial status to Account teams and supervisors in accordance with established SOPs.
- Collaborate with Account teams to manage scope changes and financial reconciliations.
- Support fiscal account management by providing Account leads with relevant project information and points of view.
Qualifications
Required Experience
- 2+ years of project management experience.
- Experience managing project budgets, timelines, and resources.
- Demonstrated ability to successfully onboard and train Associate-level team members.
Required Skills
- Strong project planning, organization, and time management skills, with the ability to manage multiple priorities.
- Ability to manage project budgets, timelines, resources, scope changes, and execution risks while maintaining attention to quality.
- Excellent verbal and written communication skills.
- Ability to resolve issues quickly with little to no direction from supervisors, exercise sound judgment, and make solid decisions.
- High attention to detail and a commitment to delivering quality results.
- Adaptability when managing changing project needs and multiple priorities.
