This fully remote Intake Specialist role is a key frontline position within a client-focused legal services environment. You will be the first point of contact for individuals seeking legal guidance, offering reassurance, empathy, and clear next steps from the very first interaction.
Whether clients are planning for the future or navigating emotionally difficult circumstances, you will play an essential role in creating a supportive and professional experience. Your ability to listen carefully, ask the right questions, and guide clients through the intake process will directly impact outcomes and client satisfaction.
Key Responsibilities
• Respond promptly and professionally to inbound inquiries via phone, email, and online forms
• Conduct initial intake conversations to assess case eligibility and service alignment
• Schedule attorney consultations and manage calendars and follow-up communications
• Accurately enter and maintain client information in the intake CRM system
• Track leads and manage the intake pipeline to ensure no inquiries are missed
• Perform basic conflict checks and ensure compliance with intake policies
• Provide empathetic support to individuals dealing with sensitive or stressful situations
• Clearly explain the intake process, expectations, and next steps to prospective clients
• Assist with follow-ups and help convert qualified inquiries into active engagements
• Maintain confidentiality and professionalism at all times
• Support administrative and operational tasks as needed
Qualifications
• Associate degree or higher preferred, but not required
• Prior experience in legal intake, customer service, or high-volume support environments preferred
• Excellent verbal and written communication skills
• Strong organizational skills with high attention to detail
• Comfortable multitasking in a fast-paced remote environment
• Tech-savvy and able to quickly learn CRM and intake software tools
• Ability to communicate calmly and compassionately with clients under stress
• Sales- and conversion-oriented mindset
• Experience with estate planning or probate is a plus, but not required
• High integrity and commitment to confidentiality
