About the Role
This opportunity is for a highly organized and proactive Executive Assistant (Remote) providing direct support to C-suite leadership. The role focuses on managing executive calendars, tracking commitments and deadlines, coordinating meeting follow-through, monitoring communications, and bringing structure to multiple priorities across businesses and client engagements.
The position requires strong independent judgment, exceptional organization, consistent follow-through, and discretion when handling confidential information. The successful candidate will also conduct business and software research, maintain organized documents and workflows, identify process gaps, and communicate proactively with the CEO, COO, and internal team members.
What You'll Do
- Manage and maintain the executive calendar across multiple businesses and client engagements.
- Track follow-ups, action items, deadlines, and commitments to maintain accountability and ensure work is completed.
- Prepare for meetings, take notes when needed, and ensure agreed-upon next steps are completed after meetings.
- Organize and prioritize incoming ideas, requests, and projects.
- Evaluate the urgency and timing of tasks to distinguish immediate priorities from items appropriate for future planning.
- Monitor email communications and assist with drafting, organizing, and responding when appropriate.
- Identify gaps and inefficiencies in existing processes and recommend practical improvements.
- Maintain organized systems for documents, workflows, and business information.
- Communicate proactively and consistently with the CEO, COO, and internal team members.
- Research business topics, software, and other relevant areas and provide useful recommendations to support operations.
- Handle sensitive and confidential information with discretion and professionalism.
Qualifications
Required Experience
- Proven experience as an Executive Assistant or administrative professional supporting senior leadership, such as a CEO, CFO, Founder, or similar executive.
Required Skills
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
- Strong follow-through and accountability, including the ability to independently track assignments through completion.
- Excellent written and verbal communication skills.
- Ability to work effectively in a dynamic environment with changing priorities.
- Critical-thinking skills and the confidence to ask clarifying questions and provide constructive feedback.
- High levels of professionalism, discretion, and sound judgment.
- Strong attention to detail and a commitment to continuous improvement.
- Proficiency with Microsoft Office Suite and standard business tools used for calendar management, email, and document management.
