Overview
This opportunity is for an experienced Executive Assistant and Board Liaison (Contractor) to provide high-trust executive and governance support to a CEO. The engagement is designed as an exploratory first phase to confirm scope, define a sustainable long-term structure, and align on the appropriate level of effort. This role focuses on task management, follow-through, board operations, and governance coordination (not primary executive scheduling).
Work Arrangement
- Engagement type: Contractor (1099)
- Hours: Initially up to approximately 25 hours/week, with potential to scale (including the possibility of billing up to full-time hours if appropriate)
- Availability: Daily availability during a consistent window within Eastern Time business hours (9:00 a.m. – 5:00 p.m. ET), Monday–Friday
Compensation
$20.00 – $30.00 per hour (hourly rate is proposed by the contractor and aligned to experience, scope, and responsibility)
What You’ll Do
- Serve as the CEO’s right hand for task management, follow-up, and execution support
- Maintain systems to track action items, deadlines, and commitments from meetings and communications
- Proactively flag outstanding items and coordinate follow-up with internal and external stakeholders
- Prepare briefing materials, agendas, presentations, and background documents
- Support travel coordination and expense documentation as needed
- Assist with data entry and updates to executive dashboards, trackers, or databases
- Field and triage inbound requests to the CEO, ensuring clear communication and reliable follow-through
- Coordinate Board of Directors, Advisory Board, and committee operations (agendas, materials, logistics, and minute-taking)
- Track board terms, roles, contact information, and governance documentation
- Support onboarding of new board members and ongoing governance compliance
- Communicate regularly with board and committee leadership to support alignment and execution
- Maintain organized board files in a designated board portal (e.g., SharePoint) with strong version control
- Support cross-functional administrative needs tied to CEO-led initiatives and board priorities
- Track strategic deadlines and milestones and surface risks or timing concerns early
- Coordinate logistics for executive retreats, off-sites, and leadership meetings
- Provide ad hoc project support during high-volume or peak planning periods
Qualifications
- 3–5 years of experience supporting C-level executives and/or nonprofit boards
- Strong executive coordination and follow-through skills (distinct from primary calendar management)
- Excellent written and verbal communication skills
- Exceptional organizational skills with the ability to manage competing priorities in a remote environment
- High degree of discretion, professionalism, and attention to detail
- Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, SharePoint) and Zoom
- Experience with nonprofit governance or board operations (preferred)
- Familiarity with CRM platforms such as Salesforce (preferred)
- Background in healthcare or mission-driven organizations (preferred)
