Position Overview
The Clinical Administrative Assistant is responsible for reviewing, auditing, and approving clinical documentation submitted by employed nurses and contracted agency nurses. This role ensures that documentation is accurate, complete, compliant, and ready for billing.
The position also provides operational support to the Detailed Written Order team and serves as backup for clinical review activities during the patient intake process. The Clinical Administrative Assistant works closely with Clinical Care Navigators, Patient Care Coordinators, Intake, Pharmacy, Nursing Leadership, scheduling teams, and agency partners to support regulatory compliance, efficient clinical workflows, and high-quality patient care.
What You’ll Do
Clinical Documentation Review and Quality Assurance
- Review nursing documentation submitted by employed nurses and contracted agency partners for accuracy, completeness, compliance, and billing readiness.
- Ensure clinical documentation meets organizational standards, payer requirements, accreditation standards, and applicable regulatory guidelines.
- Identify documentation deficiencies, omissions, inconsistencies, and missing required information.
- Clearly communicate required corrections and appropriate corrective actions to clinicians.
- Monitor and track outstanding documentation corrections to ensure they are completed promptly.
- Approve clinical documentation after all quality, compliance, and completeness requirements have been satisfied.
- Conduct audits of patient medical records to confirm that clinical documentation is complete and accurate.
- Identify recurring documentation deficiencies, trends, and opportunities for clinician education or process improvement.
- Participate in the organization’s Quality Assurance Program.
- Support continuous quality improvement initiatives related to clinical documentation and operational workflows.
- Protect the confidentiality of patient information in accordance with HIPAA regulations and internal policies.
Intake Operations Support
- Provide backup coverage for the Clinical Intake Coordinator during high-volume periods and during planned or unplanned absences.
- Review medical documentation and patient information related to diagnoses, health histories, and prescribed medications when required by the patient’s insurance carrier.
- Review clinical information to determine the medical necessity of prescribed therapy based on insurance carrier requirements.
- Review physicians’ letters of medical necessity and other supporting medical information required by insurance carriers.
- Communicate effectively with sales teams, clinical teams, patients, and patients’ family members.
- Serve as the primary liaison between branch personnel and referral sources throughout the patient intake process.
- Communicate sales-related concerns, referral-source concerns, and patient complaints to management.
- Help ensure that authorization requests for services are processed promptly through the patient’s insurance carrier.
- Communicate relevant insurance information promptly to management, clinical teams, and sales teams.
- Maintain accurate referral and patient information within organizational systems.
- Collaborate with intake, pharmacy, nursing, and scheduling teams to support smooth patient transitions into care.
Detailed Written Order Support
- Assist with preparing, reviewing, tracking, and managing Detailed Written Orders.
- Follow up with healthcare providers, internal departments, and external partners to obtain required signatures and supporting documentation.
- Monitor Detailed Written Order workflows to ensure timely completion and compliance with payer requirements.
- Collaborate with Clinical Care Navigators, Intake, Pharmacy, and Nursing Leadership to resolve order-related issues.
- Support process improvement initiatives related to physician orders and clinical documentation management.
Compliance and General Operational Support
- Support ongoing compliance with Accreditation Commission for Health Care standards.
- Maintain a working knowledge of ACHC standards, home infusion regulations, and clinical documentation requirements.
- Assist with accreditation preparation activities, audits, corrective action plans, and related compliance initiatives.
- Promote adherence to organizational policies, procedures, payer requirements, accreditation standards, and regulatory requirements.
- Participate in departmental meetings to discuss workflow priorities, documentation concerns, operational needs, and improvement initiatives.
- Communicate effectively with internal departments, referral sources, agency partners, healthcare providers, patients, and caregivers as appropriate.
- Provide clinical and operational support to nursing, intake, pharmacy, and administrative teams.
- Complete additional duties and special projects assigned by leadership.
Qualifications
- An active LVN or LPN license is required. An RN license does not meet the stated licensing requirement for this position.
- The LVN or LPN license must be currently registered in the state where the employee will work and must be in good standing with the applicable Board of Nursing.
- Healthcare experience in home infusion, home health, specialty pharmacy, case management, clinical operations, or a related field is required.
- Knowledge of healthcare regulatory requirements is required.
- Strong understanding of clinical documentation standards and healthcare compliance requirements.
- Knowledge of ACHC and URAC standards.
- Excellent organizational skills and strong attention to detail.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities while meeting established deadlines.
- Proficiency with electronic medical record systems.
- Proficiency with Microsoft Office applications.
