Operations Coordinator - scheduler

Pay: Approximately $31.25 to $33.65 per hour, based on an annual salary range of $65,000 to $70,000
Position overview
This accounting and advisory firm is looking for an operations specialist who understands audit and accounting workflows and can support scheduling and operational processes behind the scenes. This role is ideal for someone with public accounting experience who prefers an internal, non client-facing position.
Main responsibilities
- Create and maintain a detailed scheduling plan for a specific practice niche twice a year.
- Balance staff availability, client timing, holidays, and PTO to ensure all engagements are properly staffed at the right levels.
- Enter trainings into the schedule and resolve any related conflicts.
- Join scheduling calls and follow up on action items with scheduling staff.
- Respond to requests from the audit department regarding schedule changes, staff assignments, and availability.
- Review the client portal about two weeks before each audit phase to confirm required documents are uploaded and adjust dates when needed.
- Prepare engagement letters and other engagement documentation.
- Provide administrative and operational support to the assigned niche as requested by staff or management.
What you will bring
- 1 to 3 years of experience working in a public accounting firm in an operational, administrative, or similar role.
- Familiarity with the audit process, common audit terminology, and related software.
- Strong attention to detail and the ability to manage multiple tasks at the same time.
- Proficiency with Microsoft Office, especially Excel and Word.
- Experience working in a paperless and remote environment is strongly preferred.
- Solid interpersonal and relationship building skills and a collaborative, team focused approach.
- Comfort taking initiative, learning quickly, and maintaining a positive, solutions oriented mindset.
Work model
This is a remote role based in the United States. Occasional travel to client locations, corporate meetings, and trainings may be required to support collaboration and implementation of initiatives.
