About the Role
This opportunity is for an Administrative Assistant in a full-time contract role supporting executive operations, client-facing scheduling, travel coordination, onsite event logistics, and administrative projects. This role is ideal for someone who enjoys managing complex calendars, keeping details organized, and helping teams stay on track in a fast-moving remote environment.
The Administrative Assistant will work directly in support of an Executive Assistant, helping provide scheduling and administrative coverage for executive leadership, client-facing teams, and People Operations projects.
What You’ll Do
Calendar & Scheduling
- Support the Executive Assistant with managing complex and frequently changing executive leadership calendars.
- Handle external scheduling for client-facing teams.
- Coordinate meetings, calendar updates, and scheduling details with accuracy and professionalism.
Travel & Expense Coordination
- Assist with domestic travel planning, including travel arrangements and accommodations.
- Manage monthly expense reports for executive leadership.
- Track receipts and reimbursement workflows accurately and on time.
Event & Onsite Logistics
- Support onsite events and team gatherings.
- Book meeting spaces and coordinate accommodations.
- Manage catering needs for meetings and events.
- Research venues for team dinners, client meetings, happy hours, and related gatherings.
Administrative Support & Coverage
- Provide coverage for the Executive Assistant during out-of-office periods to ensure continuity of support.
- Collaborate effectively with people across different levels, personalities, perspectives, and communication styles.
- Assist the People Operations team with administrative projects as needed.
- Handle highly sensitive and confidential information with discretion at all times.
Qualifications
- Prior experience in an administrative support role.
- Prior experience at a startup or small technology company.
- Demonstrated experience managing complex calendars.
- Experience supporting onsite events, meeting logistics, and venue research.
- Exceptional attention to detail and a high standard of accuracy.
- Strong internal and external scheduling skills, including the ability to manage complex and frequently changing calendars.
- Proficiency with Microsoft Outlook and Slack.
- Strong organizational skills and the ability to thrive in a fast-paced, evolving environment.
- Effective prioritization skills and a proven ability to meet deadlines.
- Adaptability and the ability to adjust quickly as business needs change.
- Strong follow-through while managing multiple priorities at the same time.
