Role overview
You’ll provide high-level executive administrative and operational support to senior leaders within the Alliances organization, helping manage calendars, meetings, projects, communications, events, and executive priorities in a fast-paced cybersecurity environment.
What you’ll do
- Manage and optimize complex executive calendars across multiple time zones.
- Coordinate domestic and international schedules, agendas, and executive priorities.
- Manage external contacts and identify key stakeholders.
- Handle sensitive matters with professionalism, discretion, and confidentiality.
- Anticipate executive needs and coordinate the right stakeholders and resources.
- Manage special projects and cross-functional initiatives.
- Track objectives, priorities, timelines, progress, and follow-through on key assignments.
- Attend meetings, prepare agendas, capture notes, and track action items.
- Coordinate communication across administrative staff and cross-functional partners.
- Partner with executives, business partners, and executive assistants to coordinate meetings, events, and initiatives.
- Support leadership meetings, QBRs, planning cycles, staff meetings, offsites, all-hands meetings, and executive communications.
- Coordinate agendas, presentation materials, and logistics for senior leadership meetings and executive events.
- Plan and execute large-scale, multi-day offsites, including venue sourcing, vendors, travel, catering, transportation, activities, and budget coordination.
- Resolve complex issues by identifying root causes, building consensus, and driving timely solutions.
- Build trusted relationships with senior leaders, partner organizations, customers, and executive assistants.
- Identify opportunities to improve executive operations, streamline processes, use automation, and improve organizational effectiveness.
What you’ll need
- 5 to 7 years of executive support experience.
- Several years of experience supporting Vice President-level executives or above.
- Experience independently managing projects from start to finish with minimal guidance.
- Experience supporting Sales, Alliances, Partnerships, Revenue, or other go-to-market organizations preferred.
- Familiarity with technology partner ecosystems is a plus.
- Bachelor’s degree preferred.
- Experience with Google Workspace, Slack, Zoom, and Navan preferred.
- Excellent written and verbal communication skills.
- Strong executive presence and ability to build trusted relationships with senior leaders.
- Outstanding organization, attention to detail, ownership, accountability, and sound judgment.
- Ability to manage multiple priorities in a fast-paced, time-sensitive environment.
- Routine experience interacting with executive-level leadership.
- Experience using AI-powered tools to improve productivity, automate workflows, prepare communications and presentations, generate meeting summaries, and improve efficiency.
