Position Overview
The Sales Administrative Assistant provides administrative and clerical support to the Sales Director, Executive Assistant, and broader sales team. The role is responsible for keeping calendars, projects, follow-up activities, prospect information, and internal records organized so the team can focus on business development and client relationships.
This position combines administrative support, scheduling, research, CRM maintenance, prospect follow-up, and project tracking. Success in the role requires strong attention to detail, sound judgment during urgent situations, effective organization, and the ability to build productive working relationships.
What You’ll Do
Executive and Administrative Support
- Maintain the Sales Director’s calendar and help keep appointments, meetings, and priorities organized.
- Track the Sales Director’s projects, tasks, and reminders as requested.
- Support the manager and team by monitoring administrative and clerical details.
- Perform additional related duties as assigned.
Scheduling and Follow-Up
- Schedule appointments, calls, meetings, webinars, project calls, project closing calls, follow-up calls, reconnect calls, website submissions, and meetings related to new leads.
- Place outbound calls and send follow-up emails using established processes, scripts, and email templates.
- Maintain timely follow-up activity to support prospect development and existing business relationships.
CRM and Records Management
- Research, create, update, and maintain records in Zoho, ABLE, and other CRM platforms.
- Maintain accurate administrative records and organized documentation.
- Use sales CRM software, Excel, Microsoft Word, Google Docs, and other computer tools to support daily work.
Research and Business Development Support
- Research clients and firms through Google, company websites, LinkedIn, and other online resources.
- Research and pursue potential clients for available services and new business opportunities.
- Maintain and track the Sales Director’s activity with national associations for business development opportunities.
- Develop a basic understanding of available services after completing training.
Project and Service Coordination
- Monitor, track, process, and follow up on projects that are out for bid or pending.
- Track projects related to applicable service categories, including CS, R&D, and 179D/45L work.
- Identify, prioritize, and resolve basic service issues.
Qualifications
- Associate degree from a two-year college or technical school, or an equivalent combination of education, training, and related experience.
- Three to five years of related experience, training, or an equivalent combination of education and experience.
- Strong organizational skills and the ability to maintain accurate records.
- Ability to manage multiple responsibilities at the same time.
- Excellent attention to detail and problem-solving skills.
- Strong time-management skills.
- Ability to work independently with minimal supervision.
- Self-motivated approach and demonstrated initiative.
- Strong analytical, planning, and problem-solving abilities.
- Proficiency with computers, Microsoft Office, Excel, Microsoft Word, Google Docs, and sales CRM software.
- Ability to navigate websites and online resources to research and obtain information.
- Excellent written and verbal communication skills, including basic grammar and punctuation.
- Strong customer service skills.
- Ability to write reports and business correspondence.
- Ability to present information effectively and respond to questions from managers, clients, customers, and members of the public.
- Ability to solve practical problems when limited standardization exists.
- Ability to interpret written, verbal, and scheduled instructions.
- Ability to maintain a quiet remote workspace that presents a professional business environment.
